About Second Harvest

If you don’t know about Second Harvest Food Bank of Central Florida, let us start by saying this is a BIG operation! We are a private, nonprofit organization that collects, stores and distributes donated food to more than 700 feeding partners in seven Central Florida counties: Brevard, Lake, Marion, Orange, Osceola, Seminole and Volusia. Last year, with the help of numerous donors, volunteers and a caring, committed community, the food bank distributed over 80 million meals to partner programs such as food pantries, soup kitchens, women’s shelters, senior centers, day care centers and Kids Cafes.

In addition to getting food to our neighbors facing hunger, Second Harvest transforms dozens of lives directly every year through several innovative programs. Economically-challenged adults who graduate from our 16-week culinary training program are placed in ‘better than minimum wage”’ jobs that set them and their families on a path to self-sufficiency. We provide assistance to connect people who are eligible to receive SNAP food assistance benefits with the resources they need to access the program and get help. We collaborate with many social service agencies to address needs facing many members of our community..

Department Overview

This position directly supports the Agency Relations and Operations Department. The Agency Relations team (AR Director, 5 AR Coordinators, 2 Grocery Alliance Managers and 2 additional support staff) serves as the primary point of contact for our network of Partner Agencies, while ensuring a safe and equitable distribution of food in Brevard, Orange, Osceola, Marion, Volusia, Seminole and Lake Counties.

Work Hours-Part Time

This is a part time (24 hours weekly) position requiring Tuesdays and Fridays in the office 8:30am to 5:00 pm. One additional full day each week in office will be decided with director and employee.

Up to 10% local travel


Job Summary

Under the direction of the Agency Relations Director, the Agency Relations Administrative Assistant will provide a variety of administrative and customer service support assistance to the Agency Relations team. While some support activities will be consistent on a year-round basis, others will be more seasonal in nature. We are also looking for someone who can help make more of our processes paperless through new technology and process optimization – if you have strength in those areas - read on! This is a Part Time position.

Job Responsibilities

Record Keeping

Maintain detailed and accurate agency and community partner records and paperwork, including files for USDA TEFAP contract and the Digital Cabinet
Access and update agency data using the food bank’s database, Primarius, and ensure monthly reporting
Ensure compliance all grant reporting requirements and expenses
New Agency Onboarding

Monitor potential new agencies and communicate with them about the process and possible denials
Update AR Team regarding new agency interest
Schedule Orientations and agency training and prepare materials and resource packets
Set up new agency accounts in Primarius,,ensure New Agency Memorandum of Agreements are completed and build New Agency accounts in the Cabinet
Mobile Drops

Confirm upcoming Mobile Drop dates with agencies and confirm in Outlook
Manage Mobile Drop MOA’s and other contracts, and compile and report required statistics
Set up Mobile Drop Trainings
Process Improvement

Identify and help to implement process improvements for record keeping, agency monitoring and information sharing through automation and new tools
Communication & Customer Service

Provide high-level customer service to existing and potential Partner Agencies and Community Partners by phone, email and occasionally, in person during shopping appointments
Support ongoing capacity building by informing partners of available SHFB and community resources
Update Bright Signs in Lobby and assist in maintaining the Partner Agency Website
Set up and Manage SMS Communication with Agencies
Manage the Agency Relations email including mass email reminders, recalls and announcements
Answer food assistance requests and provide referrals
Serve as back up for Agency Support Specialists
Training, Meetings and Special Events

Provide support for annual Partner Network Conference, County Meetings and other Partner Network gatherings
Create flyers, agendas, invitations and materials for trainings and meetings
Take and distribute meeting notes for Agency Relations internal and external meeting
Other duties as assigned

Requirements
Knowledge, Skills, Education and Experience Required

One year of professional administrative experience
Associate’s Degree or equivalent level of experience
Comfortable working with people from diverse social and ethnic backgrounds
Demonstrated problem solving and critical thinking ability resulting in positive outcomes
Proven success with collaboration and teamwork
High quality written and verbal communication skills
Proven ability to multi-task and thrive in a dynamic work environment
Ability to work independently and manage time well
Reliable personal vehicle and clean driving record
Ability to occasionally travel within a seven-county area; mileage reimbursement provided

Desired Skills and/or Certifications

Proficiency in Microsoft Outlook, Word, Excel and PowerPoint: Specific desired skills include scheduling meetings/trainings, mail merges, spreadsheet management and PowerPoint design
Strong ability to use Google Docs and Forms, MailChimp, SurveyMonkey and SignUpGenius
Design experience with WordPress and Canva
Commitment to alleviating hunger in Central Florida
Bilingual in Spanish
Social services experience
