Job Summary

The Executive Assistant provides administrative support to the Vice President of Academic Affairs, including their respective division within the College. This role provides coordination and follow-through for a variety of tasks related to events, meetings, and specific projects and initiatives.
The Executive Assistant must effectively work with internal and external stakeholders with a high level of organization, care, attention to detail, confidence, and confidentiality. This role also requires effective time and resource management, and strong judgement and communication skills.

Responsible for demonstrating LSSC’s core values of Caring, Communicating, Collaborating and Celebrating.

Essential Duties & Responsibilities

Assists Vice President, or works independently, with any project &/or special assignment by conducting research, compiling facts, analyzing data, developing recommendations, observations or summaries, and submitting report(s) on a variety of special assignments.
Responsible for following up on action of a Council or Committee to ensure that decisions are implemented and appropriate parties are notified.
Attends meetings as required.
Assists in yearly budget preparation, documentation and transfers related to the Operating Budget
Official document research/preparation.
Organizes office operations and procedures and acquisition, distribution and store supplies.
Schedules/coordinates meetings and room set up as necessary.
Performs advanced, varied, and confidential administrative duties requiring executive level administrative skills.
Serves as a liaison to all levels of administrators, trustees, senior staff of the College, students, families, faculty members, and external parties.
Organizes and carry out special events including invitations, hospitality and support.
Creates and edit documents and presentations using Microsoft Office Suite.
Exemplify core values and provide excellent customer service to members of the general public and other LSSC employees.
Perform other duties as may be assigned.

Knowledge, Skills, & Abilities

Intermediate or better proven proficiency in personal computer skills, specifically in Microsoft Word, Excel, Access, Outlook and Power Point.
Demonstrate professionalism in dealing with a diverse population while understanding and respecting each other’s view of the world, personalities and working styles.
Strong service orientation, and ability to effectively work as member, or leader, of a team by cooperating with others, offering to help others when needed and considering larger organizational goals rather than individual concerns.
Includes the ability to build &/or support a constructive team spirit where members are committed to the goals and objectives of the organization.
Excellent verbal communication skills and professional appearance.
Ability to communicate effectively and make presentations.
Plan, organize and successfully multitask to meet multiple deadlines and frequently new work tasks within required timeframes.
Proven flexibility to successfully work on diversified projects at a fast and accurate pace.
Adheres to all workplace safety rules, safety laws, regulations, standards and practices.
Ability to work various hours including nights, early morning and weekends.

Minimum Qualifications & Education

Bachelor’s degree (BA) from accredited educational institution;
4+ years related experience and/or training;
Equivalent combination of education and experience may be considered
Successful completion of background check and drug screening.
